This step-by-step seating chart planning guide will provide you with a quick and efficient way to organize the seating of your guests. For any event, a seating chart is very important especially for group of 50 guests or more. Don’t leave it to chance! Imagine how disappointed you would be if someone very special to you happened to be stuck sitting all the way at the back at your reception.

The idea of assigning a seat for a large guest list can be quite puzzling and intimidating. Simplify the process by breaking down the task into smaller steps. This will save you lots of time … not to mention your sanity!

Easy Seating Chart Planning

First scratch off your list guests who will be seated at the head and/or honor tables.

Cut small pieces of cardboard in a 4″x 2″ rectangular shape.

On each piece of cardboard write down the name of the remaining guests of your list. Use only one card per couple, and a card per single guest.

Once all the names have been written down on a cardboard, start sorting each cards into specific piles. Each pile represents a category of guests for each side of the bridal couple such as close family members, extended family members, friends, co-workers. Feel free to add more categories as needed.

Once you know the amount of guests you can sit per table, you can begin assigning them by working your way one pile of cards at the time. Based on eight guests per table for example, start by adding the total amount of guests for your close family member card pile and divide by eight to get the number of tables required. If you are left with extra guests for that pile, you’ll assign other extra guests from other groups of card piles.

Repeat the above for each guest category piles. When all done, you’ll know exactly how many tables are required with a breakdown of who is seated at each table. The only thing remaining is to decide which tables will be the closest to the head table!
